What this job is about
This job supports the People Director in ensuring the People Department’s compliance with Trust-wide business requirements (e.g. finance, data protection, risk management, reporting, audit). It collates, analyses, reviews, and reports on functional data, and people data from across the Trust, to ensure that the Department’s work and impact is tracked against the Corporate Strategy and the Department’s own People Strategy and workplans. This job acts as a department “secretariat”, making arrangements and bringing together the Department’s teams for cross-functional (and inter-departmental) initiatives and activities, and carrying out general administrative duties as required.
What we want you to be responsible for
• Understanding the Trust’s corporate requirements and standards, ensuring the People Department has the correct governance mechanisms in place to fulfil these, and report on these as required. Typical areas are, for example:
o Finance procedures, monitoring and reporting
o Data Protection (as the Department’s “data champion”)
o Risk management
o Cyclical formal papers and reports to Board and Executive Committee (“ExCo”)
o External and internal audit.

JOB PURPOSE

To be one of a team of finance business partners supporting departmental and/or regional management teams to ensure that these teams are able to undertake their financial management activities and responsibilities effectively; and receive appropriate financial advice and support to ensure that their decision making and control frameworks are robust and in line with the strategy and policies of the Trust.

To develop forward looking analytics to support their customers in effective delivery of the Trust’s strategy and priority projects.

Lead the delivery of their customer’s accurate and timely month-end reporting, Budgeting and Forecasting processes, and associated reporting to ExCo and Board.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

• Lead the provision of timely, accurate and insightful reporting, analysis and targeted interpretation of monthly results to the departmental and/or regional management teams. Highlight key performance variances and work with the business areas to agree corrective action and identify any risks or opportunities to the latest forecast;
• Engage with stakeholders to create the Budgets & Forecasts for business areas feeding into the overall Trust Budget , providing information & analysis for incorporation into ExCo and Board reports;
• Support Budget Managers in the creation, monitoring and controlling of their budgets and quarterly forecasts. Analysing variances and liaising with budget holders on potential problem areas, subsequently making recommendations and advising on the impact to the Trust;
• Actively participating in their internal customers’ monthly team meetings, providing financial updates and reports and influencing decision-making on key financial and non-financial matters;
• Creating a continuous improvement culture in particular developing and implementing streamlined and user-friendly processes, procedures and reports to support the financial activities within their internal customer teams, provide training to employees to embed these processes and embed reviews to ensure that these continue to be fit for purpose;
• Identifying and delivering process improvement and cost reduction opportunities across the Trust;
• Taking actions which ensure the on-going success of the Finance team within the Trust;
• Active member of the Finance team and will be involved in supporting cross-Trust initiatives.
• Developing and maintaining reporting dashboards, and providing financial modelling support for ad hoc Trust wide requests and initiatives
• Developing new ways of accessing data to create insightful analysis that guides and informs to support decision making.

JOB PURPOSE

With increasing risks associated with data protection and cyber security and the need to ensure we regularly monitor, advise on, and remain resilient in our data protection activities; this role exists to support the Data Protection Officer in advising the Trust and monitoring compliance with UK and EU privacy legislation including the UK GDPR, EU GDPR, Data Protection Act 2018 and the Privacy and Electronic Communications Regulations. The Deputy DPO will also act as the Trust’s Data Protection Officer (DPO), in their absence.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

• Support colleagues across the organisation with specialist advice and practical guidance on the implementation of privacy management policies and procedures.
• Assist in the recording, monitoring, and reporting of risks associated with data processing activities and identify actions that can be taken to mitigate risk.
• Assist in the preparation of reports to the Trust’s Board and Executive Committee through the collation of key management information, including case management statistics and updates on the delivery of training.
• Support the annual review of all privacy management policies and procedures in line with legislative changes and organisational requirements.
• Plan for legislative changes and their impact on Trust activities, identifying risk associated with the changes and managing workload to address such changes.
• Support the delivery of mandatory training in data protection, cyber security, and PCI DSS – including the delivery of refresher training to volunteers and employees.
• Process data subject rights requests, including Subject Access Requests, Erasure Requests and Objections to Processing, in line with the legislative timescales.
• Support the development of an annual auditing framework for data processors to ensure they continue to meet our expectations in the handling of Trust data.
• Manage workload and resources required to respond to data subject’s rights requests in line with legislative timescales.
• Work with the DPO to advise on possible solutions to challenges with systems and processes in order to mitigate risk.
• Coordinate and record quarterly meetings with the data champions’ network.
• Oversee the production of a quarterly newsletter with support of the data champions.
• Lead on the review of the data inventory and ensure it remains up to date.

Each Regional General Manager has operational responsibility through Property Staff for maintaining built assets and ensuring statutory compliance within their Region. The Central Buildings Team operates through a consultancy model with dedicated resource in each Region. The role of the Buildings Team is to provide NTS with professional and technical services in support of building conservation, maintenance and capital building projects across the Trust’s built estate. Each Region is currently supported by a dedicated Building Surveyor (or Architect) who ensures that NTS delivers best practice in building conservation and maintenance. You will be assigned to a Region, joining the Building Surveyor and providing a leadership role for building maintenance activity in your Region. You will also assist the Building Surveyor with larger project delivery. Your key day to day contacts will be the Regional Building Surveyor, Operations, Maintenance and Property Staff.

The Buildings Team is a national asset of the NTS and operates as a single team. Individuals will sometimes be required to operate beyond their ‘home’ Region or to provide specialist advice to other team members. In exceptional circumstances, individuals may be asked to relocate temporarily to deal with a particular situation eg as part of disaster recovery efforts. The role will also require occasional work outside core hours to deal with emergency or unplanned situations.

JOB PURPOSE

This job will support the National Trust for Scotland Strategy Conservation Pillar by contributing to improving the condition of our buildings, delivering best practice in built heritage conservation and maintenance management and supporting the safe operation of our sites.

Reporting directly to the Head of Building Surveying (Operations) you will be responsible for supporting and undertaking the planning and delivery of sensitive conservation maintenance and repair to NTS buildings and advising property operations teams on all aspects of buildings care. You will assist operations staff to maintain public access to sites and buildings during essential building work.

The structure of the Highlands and Islands region includes 26 properties including 11 islands and a mix of natural and built heritage key mainland properties.

Mainland property-built heritage interests include Glencoe, Glenfinnan, Culloden Battlefield, Brodie Castle and Estate, Hugh Millers and Moirlanich and the Islands, namely Fair Isle, Unst and Yell, St Kilda UNESCO Dual World Heritage site, Iona, Staffa and Canna.

My client is seeking to appoint a Business Manager – Highlands and Islands Region to work from Balnain House, Inverness with the opportunity for some hybrid working and reporting into the General Manager for the Region and supported by the Highlands and Islands Office Manager.

JOB PURPOSE

Under the direction of the Head Stonemason the role of Stonemason exists to directly deliver conservation stonemasonry repair and maintenance projects on National Trust for Scotland properties to the highest possible standards while supporting the stonemasonry team’s objectives and apprenticeship programme.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

• Carry out surveys and prepare working drawings of stonemasonry work to be carried out
• Research original construction materials and techniques and interpret these to produce accurate conservation work to the highest standards set by the trust and other external bodies including Historic Environment Scotland.
• Record dismantle existing structure, move, fix and build new stone in repairs, alteration and new work
• Preparing, applying and curing a variety of lime mortars harls and limewashes as necessary.
• Assist the Head Stonemason in the daily management of the apprentices; this will include onsite supervision and some recording of apprentice’s progress.
• Day to day running of the workshop, plant and equipment, including cleaning, tool maintenance, PPE maintenance, helping to review stocks of materials and equipment.
• Assist in the preparation of priced and/or timed work schedules and proposals with the aim of completing work to a schedule.
• Promote the aims and objectives of the stonemasonry team, conservation stonemasonry and the Trust. This might be achieved through external lectures on workshop activities and projects as well as representing the stonemasonry team in interviews for the media.
• Follow health and safety procedures to ensure that all work carried out complies with health and safety legislation
• Assist in the updating of the SSoW to help to improve the working environment and practices of the stonemasonry team and undertake further training where required helping deliver objectives.
• Contribute to and carry out risk assessments, COSHH assessments and method statements for the safety of the stonemasons, other staff, contractors and the public
• Help to maintain up to date information & records on workshop files regarding equipment testing, maintenance and use.

JOB PURPOSE

You will be responsible for the operational delivery of the Food & Beverage experience at Crathes Castle, Drum Castle, Craigievar Castle and Leith Hall (Aberdeenshire South Cluster).

Delivering performance standards and targets to ensure enjoyment of the property by visitors and members is maximised and key commercial, financial and development objectives are achieved to make the property fully sustainable.

You will be part of a broader management team responsible for delivering an overall visitor service strategy, promoting good communication across the site and a joined up service provision.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES
• Driving the Food & Beverage department to achieve its financial targets, maximising income and profitability, using the Trust’s procedures and instructions. You will strive to be efficient and ensure cost effectiveness in all the work you do.
• You will work closely with the sites Visitor Services teams and will be responsible for the visitor experience on a day-to-day basis when they are not present.
• Create a culture of ‘exceptional service, every time’. Delivering high standards of delivery and a consistently warm welcome on every occasion.
• You will ensure high standards of presentation across the properties; you may have delegated tasks within other departments and you will understand and help deliver your overall property business plan.
• Taking responsibility for opening and closing and security of buildings as well as emergency procedure implementation, duty management and providing relief cover as required
• Staff and volunteers – (recruitment, induction, development, motivation, performance management) such that they are fully equipped and motivated to undertake their duties to the required Trust standards and that staffing budgets are adhered to;
• Instil a Health & Safety culture across the property, ensuring the team work within the property’s ‘Safe System of Work’ to reduce risk of incidents and accidents to volunteers, employees and visitors.
