KEY RESPONSIBILITIES AND ACCOUNTABILITIES

Retail operation
• Create eye-catching and enticing retail displays, maintaining high standards of presentation.
• Identify opportunities to increase revenue through upselling, cross-selling and add-on sales.
• Input into range planning and the development of our retail product offer.
• Be responsible for organised ‘back of house’ systems and all aspects of stock management, including deliveries, storage and stock-taking.

Visitor experience
• Offer exemplary customer service and ensure all members of the team do the same.
• Gather visitor feedback to help evaluate and shape our offer.
• Support ambitious property-wide targets for customer satisfaction, membership recruitment and donations to our charity.
• Act as one of our duty manager team, responsible for ensuring a safe and smooth visitor operation, opening/closing the visitor centre, addressing issues as they arise and following our emergency procedures.
• Minimise our environmental impact through environmentally sustainable practices – especially energy use and waste disposal.
• Contribute photos, videos and story content for social media and marketing promotion
People management
• Supervise the day-to-day activities of a team of permanent and seasonal Visitor Service Assistants (VSAs)
• Achieve excellence in staff performance with motivation and training, task-setting and coaching our staff on front and back-of-house routines.
• Contribute to the preparation of rotas, allocating staff and volunteer resources to meet business needs.

Finance Management
• Share responsibility for achieving a retail budget of around £750,000 sales per year.
• Monitor commercial performance and adjust activities to capitalise on income-generating opportunities.
• Supervise daily retail till operations and perform end-of-day financial reconciliation.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

• Support colleagues across the organisation with specialist advice and practical guidance on the implementation of privacy management policies and procedures.
• Assist in the recording, monitoring, and reporting of risks associated with data processing activities and identify actions that can be taken to mitigate risk.
• Assist in the preparation of reports to the Trust’s Board and Executive Committee through the collation of key management information, including case management statistics and updates on the delivery of training.
• Support the annual review of all privacy management policies and procedures in line with legislative changes and organisational requirements.
• Plan for legislative changes and their impact on Trust activities, identifying risk associated with the changes and managing workload to address such changes.
• Support the delivery of mandatory training in data protection, cyber security, and PCI DSS – including the delivery of refresher training to volunteers and employees.
• Process data subject rights requests, including Subject Access Requests, Erasure Requests and Objections to Processing, in line with the legislative timescales.
• Support the development of an annual auditing framework for data processors to ensure they continue to meet our expectations in the handling of Trust data.
• Work with the DPO to advise on possible solutions to challenges with systems and processes in order to mitigate risk.
• Coordinate and record quarterly meetings with the data champions’ network.
• Oversee the production of a quarterly newsletter with support of the data champions.
• Lead on the review of the data inventory and ensure it remains up to date.
• Promote and advise on the application of data protection by design and default when developing new systems and processes across the organisation.
• Support the DPIA process, including supplier due diligence and review of third-party contracts, including those involving international data transfers.
• Work alongside internal stakeholders to contain, recover and respond to data breaches and cyber security incidents – acting as the key contact for external stakeholders, including the Information Commissioner’s Office, OSCR and Police Scotland, in the absence of the DPO.
• Support the delivery of data protection and cyber security projects as required.
• Deputise for the Trust’s DPO in their absence.
• Report on risk, incidents and vulnerabilities to the Executive Committee, in the absence of the DPO.

Supporter Care
• Co-ordinate and manage the effective delivery of day to day operations of the Supporter Care Team, ensuring all tasks are allocated, monitored and delivered effectively including administration tasks such as dealing with incoming enquiries, outgoing communications and processing memberships, payments, refunds, gift aid, direct debits and mail
• Co-ordinate and oversee effective delivery of other tasks as necessary or directed
• Ensure delivery of exceptional supporter care in response to enquiries via telephone, email, social media, website, letter and occasionally face to face
• Direct individuals to undertake and complete tasks professionally and effectively
• Monitor and report on team performance and effectiveness
• Manage and respond to complaints, escalating to the Supporter Care Manager as necessary

• Monitor the Supporter Care Team to process supporter data in accordance with GDPR and PECR regulations and work closely with the Supporter Care Manager and CRM Manager to ensure supporter data is effectively managed.
People management
• Motivate, support, advise and develop the Supporter Care Team Executives, acting as a first point of escalation for any complaints received.
• Plan team rotas to make sure that there is sufficient cover at all times.
• Lead on developing and delivering training to Supporter Care Team.
• Provide induction and on-going training and coaching of team members.
• Provide team and individual insights to the Supporter Care Manager for the purposes of e.g. formal Performance Review (Annual and Mid-Year).
• Assist with the recruitment of new team members.
Strategic support
• Identify and recommend to the Supporter Care Manager and Head of Membership measures that improve service provision and supporter experience in order to drive achievement of targets and strategic goals

KEY RESPONSIBILITIES

• To deliver exceptional supporter care across multiple channels – In most cases you are the first line of enquiry either by telephone, email, social media, letter or occasionally face to face.
• To be welcoming and helpful for people contacting our charity who may have a question or feedback.

The Role

Your role is to sell all venue hire events at Dovecot and to increase revenue by maximising bookings throughout the building. Dovecot hosts a range of high profile events including weddings, parties, conferences, private views and bespoke events and is renowned for its premium level of service and delivery. Working alongside the Events Venue Manager, you will deliver first class event hire service for clients and maintain exceptional customer service for all visitors while working sensitively within Dovecot’s wider brand and position in the art world.

Excellent written and verbal communication skills are essential. The post holder is required to work flexibly to ensure business needs are met. Usual hours are 9am–6pm on a rota across a seven-day week, with occasional evening and Sunday opening for events such as Edinburgh Festival or other private venue hire events. We are seeking someone to set excellent standards for the professional delivery of all aspects of Dovecot’s day-to-day activities, which currently include exhibitions, ticketing, retail, events, venue hire and catering. The Head of Commercial & Operations is a key member of Dovecot’s Senior Management Team with responsibility for running all commercial and visitor operations, developing business strategy, increasing income and setting excellent standards for the professional delivery of all aspects of Dovecot’s day-today activities.

Reporting to the Director, and working collaboratively with the Dovecot Senior Management team as well as with the commercial operations team, you will implement a strategy that delivers significant incremental growth. As a Chef de Partie at Conifox, you will be a key member of our kitchen team, responsible for the daily operations of food preparation and service of food to customers, activity centre café and social/corporate events.

As a Retail Assistant you’ll be an integral part of the team who thrive on and deliver exceptional customer service to all our museum visitors. Reporting to The Burrell Shop Manager and working alongside an established and award-winning team.
The candidate
If you’re interested in joining us as a Retail Assistant, you’ll need:
• Excellent customer service skills
• Previous retail experience
• Good communication skills and a strong team player
• The ability to multitask and handle the pressure of a busy day.
• Excellent numeracy skills

Our city-wide contracts mean you will be flexible to work in any of our locations.
Retail Assistant roles available are:
Full-time 35 hour working 5 days, Monday – Friday 9.30am – 5.15pm
Part-time 20 hours working 5 days, Wednesday – Sunday 12pm – 4pm
Part-time 12 hours working weekends, Saturday 10am-5pm and Sunday 11am-5pm

MAIN DUTIES & RESPONSIBILITIES

Work within the team to deliver excellent customer service consistently and to deliver simple, fresh food (home made soup, scones and sandwiches) made to order to Legends high standards.

Assist with the team in ensuring the cleanliness of all sites and ensure attractive displays of stock are always in place

Work within the team to ensure that all attractions and any associated activities are operated in compliance with the current Health and Safety and Fire Safety legislation, guidelines and industry codes of practice

Work within the team to assist with the ordering of appropriate stock items, helping to ensure catering stock is properly rotated and stored, and a range of site appropriate stock items are available in the retail areas
